We are seeking a **Production Team Administrator** to oversee and streamline the responsibilities of our production team, ensuring timely and effective operations.

**Position Title**:
Production Team Administrator

**Responsibilities**:
As the Production Team Administrator, you will take ownership of overseeing the team's day-to-day responsibilities, ensuring high standards of efficiency and professionalism. Key duties include:

- Managing calls with existing clients to provide updates and ensure client satisfaction.
- Coordinating client onboardings to ensure a seamless experience.
- Overseeing the conversion of cases into the CRM.
- Collaborating with paralegals to manage case deadlines and ensure timely submission of packets.
- Managing and monitoring WhatsApp communications with clients and team members.
- Preparing financial summaries and reports.
- Generating and analyzing reports for performance insights that are monthly, quarterly, and yearly reviews.
- Cross-checking daily incoming mail for accuracy and follow-up if there are needed instructions from the Immigration agencies.
- Conducting outgoing calls to clients for case updates.
- Facilitating document collection from clients and ensuring proper filing.
- Organizing hearings and coordinating the firm calendar with other adminstrators.
- Cross-checking case progress handled by contract attorneys and paralegals for case progress and delivery.
- Leading weekly case meetings with paralegals to ensure alignment with production team deadlines.
- Monitoring weekly paralegal performance metrics and providing feedback to CEO and generating monthly reports based on this data.
- Coordinating collection of payment plan payments from clients.
- Discussing new cases from existing clients with sales/reception team to ensure proper follow-up.
- Managing miscellaneous tasks, including emergency meetings and ad-hoc reports.

**Qualifications**:

- Proven experience in an administrative or supervisory role (legal field preferred).
- Exceptional organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficiency in case management systems, Microsoft Office, and virtual communication tools.
- Ability to manage multiple priorities and deadlines with attention to detail.
- A proactive and solutions-oriented approach to problem-solving.
- Experience in immigration law or legal operations is a plus.
