Key Responsibilities:
Strategic and Tactical Sourcing:

- Source, evaluate, and procure indirect materials & services such as IT hardware, IT software, IT resources, facility maintenance items, stationary, consumables, office supplies, all services required to run operations e g AMCs, canteen, housekeeping, security etc.
- Develop and implement purchasing strategies for indirect spend categories which includes end-to-end procurement processes from identifying needs to RFQ, vendor selection, Onboarding, Negotiation & approval as per authority matrix.
- Establish rate contract for repeat item Purchase & Services (wherever applicable ).

Also, to establish the rate revalidation process as per the governing timelines.
- Negotiate contracts with service providers for the upkeep of company facilities, ensuring high standards of service and compliance with safety regulations.
- Ensure IPC/CIPC process adherence including IPC/CIPC MOM, establishment of techno-commercial comparisons (wherever applicable), approval on price comparison sheet as per authority matrix & compliance as per IPC/CIPC guidelines.
- Build awareness & collaborate with internal stake holders to understand the needs, specifications and requirements, prepare RFQ templates & standardise end to end RFQ process.
- Monitor & ensure PR to PO within governing timelines. Ensure timely supplies of different Indirect material & services and support to internal functions effectively.
- Timely renewal of different agreements of indirect material /services prior to end date of existing agreement.
- Responsible for timely payment to suppliers as per PO terms.

Supplier Management:

- Build and maintain long-term, collaborative relationships with suppliers across various indirect spend categories, conduct supplier evaluations, performance reviews, and audits to ensure quality, delivery, and cost targets are met.
- Ensure supplier compliance with contract terms, quality standards, and regulatory requirements.
- Ensure fairness in dealing with all stake holders & suppliers.
- Negotiate on service level agreements (SLAs) and contracts for KSB Tech Pvt Ltd (wherever applicable).

Budget and Cost Management:

- Identify and monitor cost reduction projects while maintaining high service and quality standards.
- Tracking of PRP’s / PIP’s and CPT reports.

Cross-Functional Collaboration:

- Collaborate with internal stakeholders such as IT, HR, Admin ,Estate etc to identify and meet their indirect purchasing needs to derive proper RFQ’s.
- Ensure that no gaps exist between actual need -RFQ and received Quote/Quotes for various needs of Indirect material & services.

Compliance and Documentation:

- Ensure all purchasing activities comply with corporate governance, procurement policies, and Maintain records of contracts, agreements, and purchases related to indirect services.
- Ensure the timely processing of RFQ’s, negotiations, approvals, purchase orders and delivery schedules.

Qualifications:

- Diploma in Mechanical Engineering or BE or B Tech Mechanical.
- Minimum 4-5 years experience in indirect procurement and service management.
- Knowledge of ERP / SAP, List of Indirect vendors for various type of Indirect material & services, etc.

Desired Skills:

- Sourcing experience of Indirect Purchase & Services for different end users like IT, maintenance, HR, Admin ,Estate etc and ability to manage complex requirements.
- Negotiation and contract management skills.
- Collaborative approach to understand internal stakeholder needs while maintaining & compliance adherence to Purchase procedures.
- Excellent communication and stakeholder management abilities. Should have good analytical skills with focus on cost optimization.
- Should have excellent knowledge of Supply chain.
