**Job Overview**:
**Key Responsibilities**:
**1. Event Coordination and Execution**:

- Plan, manage, and oversee planning all event logistics, including photography, videography, and other services.
- Communicate effectively with suppliers, contractors, and team members to ensure seamless execution.
- Troubleshoot and resolve any issues that arise during the event in real-time.
- Monitor events remotely and, when required, outside of general working hours to ensure smooth delivery.

**2. Process Improvement**:

- Develop and implement efficient planning sheets, workflows, and systems to improve coordination and reduce errors.
- Create detailed timelines and checklists for every event to ensure deliverables are met within promised deadlines.
- Identify bottlenecks in current processes and recommend solutions to improve operational efficiency.

**3. Client Communication and Updates**:

- Maintain open and proactive communication with clients to provide updates on project status, address concerns, and set clear expectations.
- Ensure all client inquiries are answered promptly, and satisfaction is maintained throughout the project lifecycle.

**4. Post-Event Deliverables**:

- Ensure all photography, videography, and other media are collected, organized, and delivered to the client as per agreed timelines.
- Work with the editing team to ensure final products meet the highest quality standards.
- Monitor feedback from clients and ensure a five-star satisfactory closing for each project.

**5. Contractor and Vendor Management**:

- Liaise with contractors and external vendors to ensure timely and high-quality delivery of services.
- Address and resolve any issues that arise with vendors to avoid delays or errors in the project.

**6. CRM and System Management**:

- Update and maintain the CRM system with accurate information on project progress, milestones, and completion statuses.
- Ensure all project records are up-to-date and accessible for future reference.

**Key Requirements**:

- **Experience**: At least 2-3 years in project coordination, event management, or a related field.
- **Communication Skills**: Excellent verbal and written communication skills to interact with clients, vendors, and internal teams.
- **Organization**: Highly organized with the ability to manage multiple projects simultaneously and meet tight deadlines.
- **Tech-Savvy**: Familiarity with CRM systems, project management tools (e.g., Trello, Asana), and Google Workspace.
- **Problem-Solving**: Strong analytical and troubleshooting skills to handle challenges during events.
- **Flexibility**: Willingness to work outside regular hours during events or urgent projects.
- **Attention to Detail**: A meticulous approach to planning and executing projects to avoid errors.

**Key Performance Indicators (KPIs)**:

- 100% of events completed on time and within scope.
- Zero critical errors or missed deadlines for deliverables.
- Client satisfaction ratings of 5 stars for all completed projects.
- All post-event deliverables (photos, videos, etc.) handed over within agreed timelines.
- CRM system updated and accurate for all ongoing and completed projects.

**Working Hours and Conditions**:

- **General Working Hours**: Monday to Friday, 12:00 PM to 9:00 PM (Singapore Time). (30 mins lunch)
- **Event Coverage**: Availability during early mornings, weekends, or outside general hours as needed during event execution, late night.

Pay: ₹35,000.00 - ₹50,000.00 per month
