Associate - Travel Desk

**Position Overview**:
Travel Coordination:
Plan and coordinate domestic and international travel arrangements for team members, including flights, accommodation, and other related services.
Ensure compliance with the company's travel policy and budgetary guidelines while making travel arrangements.
Provide travel itineraries and necessary travel documents to team members in a timely manner.
Assist team members with visa processing, passport renewal, and other travel-related documentation.
Expense Management:
Maintain accurate records of travel expenses and ensure timely reimbursements.
Travel Policy and Guidelines:
Communicate travel policies and guidelines to team members, providing guidance and support regarding travel-related queries.
Vendor Management:
Maintain good relationships with travel agencies, airlines, hotels, and other travel service providers.
Resolve any vendor-related issues or disputes in a timely and professional manner.
Keep detailed records of vendor contracts, agreements, and communication for future reference and audits.
Travel Support and Assistance:
Serve as a point of contact for employees' travel-related inquiries, providing prompt and accurate assistance.
Handle any travel-related issues, including flight cancellations, delays, or changes, and ensure appropriate resolutions.
Handle urgent or last-minute travel requests, including arranging flights, accommodation, transportation, and other travel-related services.
Maintain effective communication channels with employees during their travels to address any concerns or provide assistance as needed.
Provide team members with travel expense reporting guidelines and instructions to ensure accurate and timely reimbursement.
- Bachelor's degree in business administration, hospitality, or a related field.
- Experience of years in Travel Desk or in a similar role.
- Knowledge of t ravel management systems, online booking platforms.
- Excellent organizational skills and attention to detail
- Effective communication and interpersonal skills to interact with team members at all levels.
- Proficient in using travel booking software and Microsoft Office Suite.
- Familiarity with corporate travel policies and procedures.
- Ability to work independently and prioritize tasks efficiently.
- Flexibility to adapt to changing travel requirements and handle unexpected situations.
