Administrative Operations Executive

**Duties & Responsibilities**
- Acting as the administrative point of contact between the executives and internal/external clients
- Updating Website, Social Media/LinkedIn, etc.
- Undertaking the tasks of receiving calls, take messages and routing correspondence
- Travel coordination
- Managing and tracking budgets and project files
- Coordinating meetings, events, and conferences
- Assisting with Business Development and “Salesforce” database
- Providing administrative support in the development of contract proposals
- Managing and improving contracted support services (i.e. HR and Finance), by acting as liaison between staff and business services
- Contributing to operational excellence by playing a significant role in initiatives from short-range tactical operations to long-term strategic planning
- Attending strategy, planning and status meetings with executive staff as required
- Assisting with trade shows and conferences, including on site representation
- Participating on special projects as required
- Contributing to short
- and long-term management strategies and helping drive initiatives that contribute to long-term operational excellence
- Improving operational systems and policies in support of organization’s mission -- specifically management reporting, information flow, administrative and business processes, and organizational planning.
**Required Skills and Qualifications**
- Excellent interpersonal and collaboration skills
- Excellent communication skills (written and verbal)
- Excellent computer skills and proficient in MS Office (Excel, Word, PowerPoint, Publisher), Google Platform, and QuickBooks
- Bachelor’s degree or High School Diploma and 4 year experience
- Experience in contract files, personnel records, and financial accounts
**Abilities**:
- Self-motivated and able to initiate tasks with self motivation
- Commitment to the mission and getting the job done by being flexible
- High professional ethical standards and comfort with diversity
- Work both on site and in a virtual environment with little or no supervision
- Operate in changing and fast-paced environment
- Evaluate situations with details and facts from several points of view, while being open to direction and feedback
