We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive administrative support and ensure smooth daily operations for our senior management team. The Personal Assistant (PA) is responsible for providing high-level administrative support, managing schedules, coordinating meetings, and handling various tasks to facilitate the efficient functioning of the executive's office. The role requires exceptional organizational skills, discretion, and the ability to handle multiple responsibilities with professionalism.
**Key Responsibilities**:
**Administrative Support**:
- Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and process correspondence, reports, and presentations as needed.
- Handle confidential information with discretion and maintain confidentiality.
**Calendar and Schedule Management**:
- Manage and prioritize the executive’s calendar, including scheduling appointments, meetings, and events.
- Coordinate and arrange logistics for meetings, including booking venues, preparing agendas, and taking minutes.
- Ensure that deadlines and appointments are met and properly communicated.
**Communication and Correspondence**:
- Serve as the primary point of contact for internal and external communications.
**Office Management**:
- Maintain and organize office supplies and equipment, ensuring that everything is well-stocked and functioning.
- Assist with onboarding new employees and managing office-related processes.
- Handle general administrative tasks, such as filing, data entry, and office organization.
**Project Assistance**:
- Assist with various projects and special assignments as directed by the manager.
- Conduct research and prepare reports or presentations as needed.
- Collaborate with other team members to support organizational goals.
**Problem Solving**:
- Address and resolve any issues or conflicts that arise in the course of day-to-day operations.
- Proactively identify areas for improvement and implement solutions to enhance efficiency.
**Qualifications**:
- Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience).
- Proven experience (typically 2+ years) as a Personal Assistant or in a similar administrative role.
- Excellent organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
- Strong communication skills, both verbal and written, with a professional demeanour.
- High level of discretion and confidentiality in handling sensitive information.
- Flexibility and adaptability to changing priorities and demands.
**Timings**:9 am to 6 pm
**Work location**: VPO Daburji, Rampura Industrial Area, G.T. Road
