**Job Summary**:
The Controller of Examinations is a senior administrative position responsible for the overall planning, organization, and execution of all academic examinations. The Controller of Examinations shall be the principal officer-in-charge for the conduct of examinations and tests of the autonomous institute and declaration of their results. He shall discharge his functions under the supervision, direction and guidance of the Board of Examinations.
**Job Overview**:
The Controller shall be responsible for making all arrangements necessary for holding examinations and tests and declaration of results. It shall be his responsibility
- 1. To prepare and announce in advance the calendar of examinations;
2. To arrange for printing of question papers;
4. To arrange for the timely publication of results of examinations and other tests;
5. To postpone or cancel examinations, in part or in whole, in the event of malpractices or if the circumstances so warrant, and take disciplinary action or initiate any civil or criminal proceedings against any person or a group of persons or a college or an institution alleged to have committed malpractices.
7. To review from time to time, the results of examinations and forward reports thereon to the Academic Council.
**Key Responsibilities**:
**Planning and Coordination**:
- Develop and implement examination policies and procedures.
- Coordinate with academic departments to schedule exams and ensure timely conduct.
- Oversee the preparation and distribution of examination timetables.
**Confidentiality and Security**:
- Maintain the confidentiality of examination materials and processes.
- Ensure the secure storage and handling of examination papers and answer scripts.
- Implement measures to prevent and address examination malpractices.
**Examination Conduct**:
- Supervise the conduct of examinations, including the arrangement of invigilators and examination venues.
- Ensure that examinations are conducted in accordance with established guidelines and regulations.
- Address any issues or discrepancies that arise during examinations.
**Evaluation and Results**:
- Oversee the evaluation process, including the coordination of examiners and the timely completion of grading.
- Ensure the accurate and timely declaration of examination results.
- Handle student grievances related to examination results.
**Liaison and Reporting**:
- Liaise with academic and administrative staff to ensure the smooth functioning of the examination system.
- Prepare and submit reports on examination activities to the relevant authorities.
- Coordinate with external agencies for accreditation and compliance purposes.
**Additional Duties**:
- Perform other duties as assigned by the Principal or Chief Superintendent.
- Stay updated with the latest developments in examination management and incorporate best practices.
**Essential Qualifications**
- A PhD degree in any discipline or an equivalent grade.
- Minimum 10 years of experience in academic administration, with at least 5 years in examination-related roles at a reputed institution, preferably an autonomous college.
**Desirable Qualifications**
- Ph.D. in a relevant field is preferred.
- Familiarity with examination software and technology-driven assessment systems.
- In-depth knowledge of academic regulations and policies related to autonomous colleges.
**Skills and Competencies**
- Strong organizational and managerial skills.
- Attention to detail and the ability to handle sensitive information with discretion.
- Excellent communication and interpersonal skills.
- Proficiency in data management and IT systems relevant to examination processes.
