**Administration/Front desk Executive/ Basic Accounting**
**Job Overview**:
Represent the preschool in a professional and congenial manner in person, in telephone conversations, and written correspondence. Assist the Centrehead and teachers with all administration-related activities. This position requires the ability to perform in a fast-paced environment and discreetly handle confidential information related to all the individuals related to the organization.
**Key Responsibilities**:
- Answer phones, conduct enquiry calls, and follow up on requests for information for the preschool. Create leads, conduct follow-ups for new admissions, and set up interactions with the centrehead and coordinator.
- Conduct daily and weekly meetings with the Centrehead to discuss upcoming tasks, deadlines, and other requests.
- Ensure supplies and stationery are ordered on time with sign-off from Centrehead and founders
- Procure office supplies and equipment. Maintain inventory of stationery, folders, school t-shirts, equipment, and related supplies (school and soiled clothes bags)
- Complete the filing and organization of children's documents by academic term and year and maintain administrative and accounting information in organized files.
- Draft and respond to all correspondences with parents, vendors, and other stakeholders on time.
- Ensures infrastructure maintenance - repair and replacement are done on time, and purchase requests get approval from Centrehead.
- Manage support staff, perform general administrative tasks, and address parent complaints and queries.
- Maintain physical copies of the employee, student, and enquiry records and maintain the same in the online system by academic term.
- Prepare fee receipts and ensure bank deposits are made on time
- Prepare Petty cash and maintain soft and hard copies of invoices of vendors by financial year
**Job Requirements**:
- Bachelor's degree required
- A minimum of 2-3 years of administrative work and basic accounting experience is required.
- Excellent knowledge of Microsoft Office (e.g., Word, Excel, Tally, GST, accounts.)
- Excellent organizational skills; detail-oriented
- Strong time management skills; ability to prioritize multiple tasks efficiently.
- Resourceful self-starter with the ability to think creatively and independently
- Ability to communicate effectively with senior management
- At all times, the position will be expected to respect the confidentiality of sensitive family information
**Timings: Full time: 9 am to 6 pm, Monday to Friday, and two Saturdays from 9-12 noon**
