**Job Overview**:
The Office Assistant at TiE Chandigarh is responsible for supporting daily administrative operations and ensuring a well-organized, productive office environment. This role requires a proactive, detail-oriented individual with strong communication and multitasking abilities. The Office Assistant will collaborate with the management team to facilitate smooth office operations and contribute to creating a professional, welcoming atmosphere for members, partners, and visitors.
**Key Responsibilities**:
- **Administrative Support**:
- Manage office supplies by tracking inventory, placing orders, and restocking as needed.
- Organize and maintain records, files, and documents with a high level of confidentiality and accessibility.
- **Reception and Front Desk Duties**:
- Greet visitors, manage inquiries, and direct them to the appropriate personnel.
- Schedule and prepare meeting rooms, arranging refreshments and materials as required.
- Assist with the coordination of events, including member meetings, workshops, and conferences.
- **Data Entry and Documentation**:
- Perform accurate data entry and maintain up-to-date databases and records.
- Prepare, format, and organize documents, reports, and presentations for internal and external purposes.
- **Office Coordination and Maintenance**:
- Coordinate with vendors for office maintenance, repairs, and supply deliveries.
- Provide basic IT and equipment troubleshooting support, liaising with IT staff if necessary.
- Assist with scheduling, travel arrangements, and other administrative tasks as needed.
**Qualifications**:
- **Experience**: 2-5 years in office administration, reception, or a similar role.
- **Education**: Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
- **Skills**:
- Strong verbal and written communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Excellent organizational and multitasking abilities.
- Professional demeanor with a customer-focused approach.
