The Call Centre Executive will serve as the first point of contact for individuals reaching out to Vazhikatti Mental Health Centre and Research Institute. This role involves managing incoming and outgoing calls related to enquiries, appointment scheduling, and confirmations. The Call Centre Executive will play a key role in ensuring excellent communication and customer service standards while maintaining confidentiality and professionalism.
**Responsibilities**:
- **Call Handling**:
- Answer all incoming calls promptly and professionally, addressing enquiries about services, doctors, and appointment availability.
- Provide accurate and detailed information to callers regarding the hospital’s offerings and processes.
- **Appointment Management**:
- Schedule appointments efficiently using the hospital’s booking system.
- Confirm appointments with clients through outgoing calls, ensuring accuracy in scheduling and reducing no-shows.
- **Client Communication**:
- Maintain a friendly and empathetic tone while communicating with clients, demonstrating understanding of their mental health needs.
- Handle queries or concerns with patience and escalate issues to the relevant departments when necessary.
- **Record Keeping**:
- Document all call details accurately in the system, including enquiries, bookings, and feedback.
- Update client information as required and ensure data is handled securely and confidentially.
- **Coordination**:
- Coordinate with medical, administrative, and other departments to ensure seamless scheduling and communication of updates to clients.
- Notify departments of urgent cases or special requests from clients.
- **Service Excellence**:
- Strive to provide a positive experience for every caller, ensuring satisfaction with the services provided.
- Continuously improve customer service skills and stay updated on the hospital’s services and policies.
**Qualifications**:
- Minimum qualification: Any Bachelor's degree.
- Prior experience in a call centre, front office, or customer service role is preferred.
- Strong communication skills in English and Tamil (proficiency in additional languages is a plus).
- Proficient in using computers, including MS Office and call management software.
- Excellent listening skills and ability to empathize with clients.
- Ability to multitask, prioritize, and handle high-pressure situations calmly.
- A polite and professional telephone manner.
**Working Hours**:
This role requires flexible working hours, including weekends, as per the hospital’s operational needs. Shift pattern - 7am to 4 pm, 8am to 5 pm, 9 am to 6pm, 10 am to 7 pm and 11 am to 8 pm.
