An Office Assistant plays a key role in maintaining office operations, providing administrative support, and assisting staff in various tasks to ensure the smooth functioning of the workplace.
**Key Responsibilities**:
**Administrative Support**: Provide general administrative support, including photocopying, faxing, scanning, and mailing documents. Assist in the preparation of reports, presentations, and correspondence.
**Reception**: Greet and assist visitors, answer and direct phone calls, and respond to inquiries in a polite and professional manner. Maintain a tidy and welcoming reception area.
**Scheduling**: Schedule appointments, meetings, and conference rooms. Manage and update office calendars. Coordinate travel arrangements for staff when necessary.
**Office Supplies**: Monitor and maintain office supplies, including ordering, stocking, and organizing. Ensure that necessary materials are readily available.
**Data Entry**: Enter and update data in spreadsheets, databases, or other digital tools with a high degree of accuracy.
**Filing and Records Management**: Organize and maintain physical and electronic filing systems for documents, records, and paperwork.
**Meeting Support**: Assist in the preparation of meeting materials, agendas, and minutes. Set up and clean up meeting rooms as needed.
**Vendor and Supplier Coordination**: Communicate with vendors, suppliers, and service providers to order and maintain office equipment and services.
**Office Maintenance**: Coordinate office maintenance and repairs, including liaising with building management and service providers.
**Assistance to Staff**: Provide assistance to staff members as needed, including helping with research, coordinating projects, and handling routine tasks to support their work.
**Document Retrieval**: Retrieve and file documents as requested by staff members. Ensure confidentiality and data security.
**Salary**: ₹14,000.00 - ₹16,500.00 per month
