Female Front Office Executive

1. Greeting and assisting Visitors in a professional and friendly manner.
2. Maintaining a Visitor’s logbook.
3. Answering the phone, taking messages and forwarding the same to respective person.
4. Handling queries and addressing complaints.
5. Organizing, maintaining and updating files and records when needed.
6. Having an overview of the office expenses and costs.
7. Overseeing housekeeping activities and pantry operation.
8. Creating and maintaining updated documents & spreadsheets.
9. Overseeing the sorting and distribution of incoming couriers.
10. Preparing outgoing courier items such as envelopes and packages.
11. Operating Office equipment such as Photo Copier and Printers, renewal of AMCS of different
Office equipment.
12. Taking dictations, drafting letters, preparing minutes of meetings.
13. Performing an inventory of Office Supplies and order of need, keeping track and placing
orders for replacements.
14. Reporting to management and assisting with administrative tasks.
15. Scheduling and confirming appointments, meetings and events.
16. Copying, Scanning and filing documents.
17. Making travel arrangements, ticket booking, hotel booking, vehicle arrangements or any other administrative help.
18. Keeping track of Company Vehicles for legal compliance under Motor Vehicles Act such as payment of Tax, Insurance renewal, updating pollution certificate. Payment of fine for violation of traffic rule, drivers' authorization.
**Knowledge and Skills Required**:
- Impressive oral and written communication skills.
- Pro activeness and ability to multitask.
- Ability to meet deadlines and adapt to changing priorities.
- High ethical standards and the ability to handle confidential information with integrity.
- Ability to work collaboratively with all Department
