**Job Overview**:
The Office Administrator in the roofing industry is responsible for managing administrative tasks, overseeing material procurement, following up on enquiries, and supporting smooth office operations. This role involves coordinating between office and site teams, maintaining records, and ensuring effective communication to enhance project efficiency and customer satisfaction.
**Key Responsibilities:1. Administrative Support**
- Prepare and distribute reports, proposals, and meeting schedules.
- Maintain detailed records of project documents, invoices, and employee attendance.
**2. Enquiry Management**
- Handle incoming customer enquiries and provide timely, accurate responses.
- Follow up on enquiries to convert leads into potential projects.
- Maintain a log of enquiries and prepare monthly reports for management.
**3. Material Procurement and Cost Management**
- Research and source roofing materials and supplies at competitive prices.
- Negotiate with suppliers to secure the best deals without compromising quality.
- Track deliveries to ensure materials arrive on time at project sites.
- Maintain inventory records and manage reorder levels efficiently.
**4. Coordination and Communication**
- Act as a liaison between office staff, site teams, and clients for seamless communication.
- Schedule and coordinate site visits, meetings, and project timelines.
- Provide updates on project progress to management and clients.
**5. Financial and Budget Oversight**
- Assist with budget preparation, expense tracking, and petty cash management.
- Process invoices, payments, and maintain financial documentation.
- Monitor procurement costs and identify cost-saving opportunities.
**6. Customer Service**
- Address client inquiries promptly and professionally.
- Build and maintain strong client relationships to foster customer satisfaction.
**7. Compliance and Reporting**
- Ensure documentation complies with industry standards and regulations.
- Prepare and maintain reports on project progress, material usage, and costs.
**Qualifications and Skills**:
- **Education**: Diploma or degree in Business Administration or a related field.
- **Skills**:
- Strong negotiation and purchasing skills to secure quality materials with a savvy ability at the best price.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office and CRM or enquiry tracking tools.
- Effective communication and customer service skills.
- Basic knowledge of accounting and budgeting practices.
**Additional Requirements**:
- Familiarity with roofing materials and construction terminology is an advantage.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
Pay: ₹15,000.00 - ₹20,000.00 per month
