**Roles and Responsibilities**:
**Departmental Coordination**:
Maintain a comprehensive list of all departments and their respective heads for efficient coordination.
Act as a liaison between the Director and HODs, ensuring communication is clear and timely.
**Meetings**:
Meeting Records: Organize and maintain detailed records of all meetings, including agendas, minutes, and action points.
Ensure that meetings are scheduled according to the Director’s calendar and prepare necessary documents beforehand.
Follow up on tasks assigned in meetings and track their completion.
Schedule and calendar management, including meetings, deadlines, and travel plans.
**Secretarial Work**:
Help track ongoing projects, ensuring deadlines are met
Handling personal errands or tasks to free up your mental bandwidth.
Managing correspondence, preparing presentations, and organizing files.
Acting as a point of contact between you and your team or external stakeholders.
Preparing agendas, taking notes in meetings, and tracking follow-ups.
**Travel and Ticket Booking**:
Coordinate the Director's travel plans, including booking flights, accommodation, and transport, ensuring timely and cost-effective arrangements.
Liaise with the admin department to confirm all travel details are accurate and meet the Chairman's preferences.
**File and Records Management**:
Backup of Office Work: Ensure that all office work is backed up properly, maintaining both physical and digital copies of critical documents.
Filing System: Oversee the filing of all documents, making sure they are organized and accessible when needed.
Google Sheets and Docs Management: Maintain an Excel sheet of all Google Sheets, Docs, and Drives that contain important company information, ensuring easy retrieval.
**Visitor and Guest Relations**:
Greet and handle all visitors to the office, ensuring a professional and courteous experience.
Visitor Records: Maintain a detailed list of visitors, including their names, purpose of visit, and the department or person they are meeting with.
Facilitate meetings with guests, ensuring that the Chairman’s schedule is respected, and the necessary preparations are made.
**Departmental List Maintenance**:
Regularly update the list of all departments and their heads to ensure effective communication between the Chairman and other departments.
Proficiency in tools like MS Office package.
Ability to handle sensitive information discreetly.
**Create a Feedback Loop**:
Conduct weekly check-ins to adjust responsibilities and ensure alignment with your priorities.
