**Job Summary**:
The receptionist is responsible for managing the front desk and providing excellent customer service to visitors, clients, and employees. They are the initial point of contact for all inquiries and play a key role in maintaining a positive and professional atmosphere in the office.
**Key Responsibilities**:
Greet and Welcome Visitors: Warmly welcome and assist visitors, clients, and employees as they arrive at the office. Provide information and directions as needed.
Answer Phone Calls: Manage incoming phone calls, transfer calls to the appropriate department or individual, and take messages when necessary. Handle inquiries with professionalism and courtesy.
Manage Appointments: Schedule and confirm appointments, meetings, and conference room bookings. Maintain an organized appointment calendar.
Receive and Sort Mail: Collect, distribute, and manage incoming and outgoing mail and packages. Ensure timely delivery to the intended recipients.
Maintain Reception Area: Keep the reception area tidy and organized. Ensure reading materials are up-to-date and accessible to visitors.
Provide Administrative Support: Assist with various administrative tasks such as data entry, photocopying, and filing. Help with the preparation of documents and reports.
Security and Access Control: Monitor and grant access to visitors and ensure the security of the premises. Follow security protocols and procedures.
Handle Inquiries: Respond to general inquiries about the company, its products, and services. Direct specific inquiries to the appropriate department or personnel.
Maintain Records: Maintain and update records of visitors, appointments, and deliveries. Keep track of office supplies and place orders when necessary.
Assist with Special Projects: Provide support for special projects or events as needed. Collaborate with other departments on tasks and assignments.
Qualifications:
High school diploma or equivalent; additional education or certification in office administration is a plus.
Excellent communication and interpersonal skills.
Proficiency in using office equipment such as phones, fax machines, and photocopiers.
Strong organizational and time management skills.
Customer service-oriented with a professional and pleasant demeanor.
Working Conditions:
Receptionists typically work in an office setting, often seated at the front desk. The job may involve sitting for extended periods, answering phones, and interacting with a variety of people.
Pay: ₹15,000.00 - ₹20,000.00 per month
