Join us today and experience #LifeAtVisa Overview: This position will negotiate simple contracts, handle administrative contracting activities, perform input, setup, and management of contract information in Global Sourcing’s contract management and procure to pay system, be responsible for performing reviews to ensure contract records are complete and in compliance with Global Sourcing and Visa document retention standards. **Responsibilities**: - Manage contract requests and other source to contract transaction activities. - Assist North America team with name changes, renewals, terminations and other administrative and non-material contract activities. - Manage the contract approval process for administrative contracts, including entering agreements into contract management systems and preparing summary reports, creating contract records, facilitating approval/signature requests and notifications, and creation and management of content database. - Review and ensure completeness of contractual data and check that contracts meet Visa requirements; resolve discrepancies and missing or incorrect data with Category Leads. Maintain records and update outdated data as needed, such as updating owners and remediating contract workspaces. - Perform quarterly Process Adherence Scorecard (PAS) reviews to ensure compliance with Global Sourcing policies and procedures such as populating correct and complete contract and project data into records of contract repository and train the team to set reminder flags and notifications to ensure category teams have visibility to manage contracts. - Prepare various recurring and ad hoc contract reporting, such as expiring contracts and draft contracts, to ensure proper record keeping and management of contracts, as well as any required remediation. - Receive and enter manual contract changes, and other data corrections, as requested by category teams or others within Global Sourcing. - Provide support and ad hoc analysis for contract inquiries. Support stakeholders and business owners with contract support/requests as necessary. - Validate contract documentation input and flag areas of non-compliance for remediation. - Assist users in solving both functional and system issues. This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs. **Qualifications** **Qualifications**: - 1+ years of experience in contract administration, records maintenance or procurement operation using an industry standard contract management tool (e.g. Ariba, DocuSign, or Oracle) - Undergraduate degree - Basic contracts management experience - Professional accreditation in sourcing, procurement or inventory management a plus - Knowledgeable about contracts, purchase requests, purchase orders, supplier setup, and reporting - Ability to quickly learn new systems and tools - Ability to prioritize and multi-task - Strong process and time management skills - High level of self-motivation and initiative, and ability to operate effectively as a team player - Demonstrated aptitude to think creatively and to identify new ways to approach problems - Proficient in MS Office Suite (Excel, Word and PowerPoint), Ariba Contracts Management and Procure to Pay, Oracle a plus - Highly motivated; demonstrates a "can-do" approach in being proactive with work assignments - Excellent communication skills; written, oral and presentation skills - Demonstrated ability to effectively handle issues and challenging situations - Ability to interface with all levels of the organization **Additional Information** Visa is an EEO Employer.
