Job Summary:

We are seeking a poised and professional Receptionist to be the first point of contact for visitors, clients, and internal staff. The ideal candidate will efficiently manage front desk responsibilities, demonstrate exceptional communication skills, and provide administrative support while maintaining a warm and welcoming atmosphere in the office.

Key Responsibilities:

Welcome and assist guests, clients, and employees in a professional manner.

Operate and manage multi-line telephone systems (EPABX) to route calls efficiently.

Maintain a clean, organized, and well-functioning front desk area.

Manage appointment scheduling, meeting room bookings, and visitor coordination.

Maintain and update the visitor logbook; issue ID badges as per company procedure.

Handle incoming and outgoing communications – phone, mail, couriers, and deliveries.

Prepare and draft basic office correspondence and manage internal/external emails.

Provide clerical and administrative support: scanning, filing, data entry, document control, etc.

Monitor and reorder office and pantry supplies to ensure availability.

Coordinate with housekeeping and security teams to maintain office orderliness.

Ensure confidentiality, discretion, and professional behavior at all times.

Candidate Profile / Requirements:

Minimum 5 years of proven experience as a Receptionist, preferably in the service industry.

Excellent verbal and written communication skills in English.

Well-groomed, courteous, and presentable with a professional demeanor.

Proficient in MS Office (Word, Excel, Outlook)Experience in handling emails and appointment scheduling tools.

Hands-on experience with EPABX or multi-line phone systems.

Strong organizational and multitasking abilities, attention to detail, and a client-centric attitude.
