Job Responsibilities
Detailed Job Description
Special Skills/Attributes Required for performing the job effectively:
Supervise, Manage, and oversee the Administrative staff ( Reception, Housekeeping, Pantry, Security ), including their recruitment, training, disciplining, assigning tasks, and delegating responsibilities on a day-to-day basis.
Planning and coordination: Planning and streamlining administrative procedures and systems.
Communication: Encouraging effective communication across the organization and coordinating meetings
Inventory: Monitoring office inventory and ensuring supplies are maintained for Office, Reception, Kitchen etc
Security: Ensuring the company is operating securely and effectively
Policies and procedures: Maintaining all policies and procedures manuals including Compliance with Shops and Establishment Act
Coordinate and manage Office Events, Meetings etc.
Implement and maintain health and safety procedures in the office. Planning, streamlining and executing administrative workflows and procedures..
Manage budgets for the company's administrative functions, including office supplies and equipment.
Ensure that all administrative tasks, such as data entry, filing, and correspondence, are completed accurately and efficiently.
Maintain and update company databases and records.
Liaise with external stakeholders, such as vendors and clients, to ensure smooth operations.
Ensure compliance with all relevant laws and regulations.
Working closely with other Managers, Vendors, Facilities Services, and external stakeholders to coordinate and supervise an organization's administration system and workflows.
Manage facilities maintenance, Upkeep of the Office and branches, and stay updated with organizational changes and business trends.
Qualifications
Bachelor's degree in Business Administration or related field.
Experience
Proven experience as an Administration Manager or similar role with minimum 10 years of experience
Functional Competencies
Proficient in Microsoft Office Suite.
Knowledge of office management procedures and systems.
Ability to prioritize and manage multiple tasks simultaneously.
Behavioral Competencies
Strong communication and interpersonal skills.
