Additionally, this person further supports administration in terms of uploading vendors and contracts in Ariba, maintenance of contract adherence reports.


Job Description:

  • Vendor & Contract Administration
  • Tender Management – support global category Buyers, with preparation & analytics.
  • Evaluate trade-offs between transportation costs, global warehousing locations, inventory
  • carrying costs and service levels to identify supply chain improvement options.
  • Provide the logistics procurement data tools and analytic processes to enable that the appropriate process controls are in place for purposes of invoicing, shipment creation, vendor master data accuracy, including the ability to report out to stakeholders on the operational performance and impact of various process improvements.
  • Enable, standardize, and deploy fit-for-purpose logistics analytics such as vendor, transport mode, site and business cost and service performance KPI’s and reporting tools which will enable improvement opportunity identification.
  • Data bases - Building and maintaining PowerBI and other data bases (e.g. Sharepoint) to enable broad user and leadership reporting, KPI development and monitoring, and process and performance improvement opportunity identification.
  • Perform frequent analysis of the >$500M global shipment cost to serve and reliability data sets around the 140k+ annual shipments, analyzing shipment lanes to identify impacts and potential for improvements to global shipment cost and service levels.
  • Routinely provide recommendations to senior logistics, ISC and business supply chain leadership, and prepare reports detailing analysis and insights
  • Develop visualization tools to enable more effective and productive operations in the logistics hubs, and to convey findings from footprint analysis, cost and/or service analytics


About the job (Job Responsibilities)

  • Create, change, delete, extend purchasing organizations, extend company code, block(vdBW(1) / unblock, bank account validation, update/change payment terms, clean multiple vendors numbers, new vendor onboarding creation and sent through procurement portal and tracked, update industry key code, update SCAC Codes for our ocean carriers’ vendors.
  • Maintain the global contract data base and inform well in advance of expiration of renewal processes to be started.
  • Upload agreements into Ariba and drive timely internal approval processes.
  • Chase category buyers on contract adherence
  • Centrally maintain and store business requirements, SLA per modality, SOP’s (vdBW(2)
  • Maintain additional database of SDS(vdBW(3) sheets for purpose of rate requests.
  • Rate requests sheets and spot rate requests(vdBW(4)
  • Ensure the appropriate tools are in-house to effectively run tender processes.
  • Support in tender preparation and data collection and clean up
  • Execute rate upload and route maintenance.
  • Supplier selection recommendation based on 1t / 2nd round analysis.
  • Business requirements administration
  • Support bid sheet development for Outplant operations
  • Invoices with wrong BU or no PO. To be sent to the carriers for dispute.
  • Credit hold calls between Procurement, BUs, AP, and vendors. Speed up payments.
  • Urgent invoice payment due to credit holds. Request invoice from the vendor.
  • Work with carriers to correct invoicing issues. Perform and Root Cause analysis root cause analyis.
  • Work with AP and BU to make sure invoices are coded correct and processed.
  • Request weekly statement and calls with vendors and communicate to BU past due invoices that need their attention and get account up to date. International and local categories
  • Applying credits to debits to collect duplicate payments.
  • Applying checks for over payment from carriers to correct BU and invoices.
  • Representing the BU’s when disputing rates and contracts with the vendor.
  • Running an R block report for Logistics vendors that are on hold for pricing and quantity disputes. Send report to the appropriate person to review and provide AP with instruction on how to pay the invoices
  • Resolve duplicate payments by freight forwarder and AP.


We believe you bring (Education & Experience)

  • Minimum 5 years network analytics experience within logistics / supply chain, including experience with distribution networks (i.e. warehouses, terminals, depts, manufacturing sites, etc...). Chemicals logistics/distribution experience is preferred.
  • Experience with network modeling and a variety of data analysis and reporting processes, technologies, and tools
  • Strong data analysis and visualization abilities
  • Ability to use data to support decision making and develop solutions to present to leaders

Strong working knowledge and history of using computers and programs specific to logistics

(SAP, TMS, WMS, network modeling tools), data visualizations (Tableau, PowerBI), and for

general business management (MS Excel, Word, PowerPoint, etc.)

  • Bachelor’s Degree (BA/BS) in Operations Research, Supply Chain, Logistics, Engineering or related field from 4-year accredited college or university.
