Role Objective:
Key objective of this position is to provide comprehensive administrative support to the CMD and the senior leadership team. Executive Assistant will be key in enhancing the productivity and efficiency of the executives, ensuring smooth daily operations, calendar management and contributing to the overall success of the organization.
Desired Candidate Profile:
Bachelor's degree in Business Administration, Management or a related field, with 6 to 8 years of experience in a similar role, preferably in an international business environment.
Highly organized, proactive, and detail-oriented with exceptional multitasking and communication skills.
Ability to manage a variety of administrative tasks while maintaining a professional and composed demeanor.
Strong capability to anticipate executive needs and manage competing priorities effectively.
Role & Responsibilities:
a) Executive Support:
Provide high-level administrative support to senior executives, including calendar management.
Schedule and coordinate meetings, appointments, and conference calls.
Ensure optimal use of executives time by managing priorities and schedules efficiently.
Send reminders and follow up on important dates and deadlines.
Prepare and edit reports, presentations and documents for executive meetings.
Act as a liaison between executives and internal/external stakeholders.
b) Office Management:
Maintain an organized office environment by managing office supplies and equipment.
Coordinate office events and meetings, both on-site and off-site.
c) Data Management:
Maintain and update confidential files, records and databases.
Assist in research, data analysis and report generation as needed.
d) Communication:
Manage incoming and outgoing communications on behalf of the executives.
Screen and prioritize phone calls and emails, handling routine inquiries independently.
e) Travel and Itinerary Planning:
Arrange domestic and international travel, including flights, accommodations and transportation.
Create detailed itineraries for executives' business trips.
Functional Skill Required:
Administrative Proficiency: Strong administrative skills, with proficiency in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
Time Management: Excellent organizational abilities, with the capacity to manage multiple tasks and priorities efficiently.
Communication: Exceptional written and verbal communication skills with a keen eye for detail.
Problem-Solving: Ability to proactively identify and resolve issues, exercising sound judgment.
Confidentiality: Strong capability to maintain confidentiality and discretion when handling sensitive information.

Professionalism: Maintain a polished and professional appearance and demeanor at all times.
Adaptability: Flexibility to adjust to changing priorities and work effectively in a fast-paced environment.

Team Size to be Handle:
This is an individual contributor role, reporting directly to the CMD.
