Personal Assistant to Director

We are seeking a proactive, organized, and efficient Personal Assistant (PA) to provide high-level administrative support to senior management. The ideal candidate will possess excellent organizational skills, a keen attention to detail, and the ability to handle sensitive information with discretion. The PA will be responsible for managing calendars, coordinating meetings, handling communication, organizing travel arrangements, and supporting the executive team to ensure smooth and efficient operations.
Key Responsibilities:
- Calendar and Schedule Management: Coordinate and manage the executive’s calendar, scheduling appointments, meetings, and events. Ensure optimal use of time and prioritize daily tasks.
- Travel Arrangements: Plan and book travel, including flights, accommodations, and transportation. Prepare detailed itineraries and handle changes as needed.
- Communication Management: Screen and direct phone calls, emails, and other correspondence. Respond to or redirect inquiries and ensure timely follow-up on important matters.
- Document Preparation: Prepare reports, presentations, and other documents for meetings, ensuring they are accurate and ready on time.
- Meeting Coordination: Organize meetings, including booking venues, preparing agendas, and ensuring all required materials are provided to participants.
- Confidentiality Management: Handle confidential information with the utmost discretion and ensure privacy and security of sensitive data.
- Personal Assistance: Handle personal tasks and errands as required by the executive, maintaining a balance between professional and personal requests.
- Office Management: Manage office supplies, equipment, and general administrative tasks to ensure an organized and efficient working environment.
Requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Exceptional organizational and time-management skills with the ability to handle multiple tasks and priorities.
- Strong verbal and written communication skills, with a professional phone manner particularly in dealing with international clients.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software (Teams, Zoom and other office software's).
- High level of discretion and confidentiality in handling sensitive information.
- Should have a valid passport.
