Position Summary We are seeking a meticulous and tech-savvy individual to take on the combined role of Data Entry Specialist, CRM Administrator, and Document Controller. The ideal candidate will manage andmaintain the CRM system, ensure data integrity, control document management processes, andsupport team workflows. This role involves accurate data entry, managing CRM data, overseeingdocument control, troubleshooting system issues, and providing insights through reports. Core Responsibilities CRM Management: Perform accurate data entry and regular updates of customer information, project information,and other records in the CRM. Maintain data accuracy by performing routine data cleaning, deduplication, and validation toensure the CRM database's completeness. Customize and configure CRM settings, workflows, and fields to meet the needs of differentdepartments. Monitor CRM system performance, troubleshoot issues, and coordinate with vendors fortechnical support as needed. Create and maintain documentation related to CRM processes, data standards, and userguidelines. Generate and distribute reports to stakeholders, providing insights into data trends andopportunities. Train new users on CRM best practices, system functionalities, and data entry standards. Implement and manage data import/export procedures for bulk updates and integrations withother tools. Collaborate with cross-functional teams to optimize CRM workflows and support ongoingprojects. Document Control: Define and maintain folder structures in Share Point, ensuring proper organization for documentstorage and retrieval. Automate folder management processes to enhance efficiency and streamline documenthandling. Develop and maintain a document management system for organizing both digital and physicaldocuments. Define and implement file naming conventions and instruct the team on consistent usage foreasy document identification and access. Control document versions, ensuring changes are tracked accurately, with proper revision historymaintained. Ensure compliance with company policies and regulations regarding document retention andconfidentiality. Provide support for project documentation, including reviewing, approving, and archivingdocuments as required. Assist in auditing document control procedures and implementing improvements as needed. Education Requirements Bachelor’s degree in Business Administration, Information Management, or a related field Technical Skills and Experience Software Proficiency: Proven experience in data entry, CRM administration, and document control, preferablywith systems like Salesforce, Monday. Com, Quickbase, Procore, Share Point, or equivalent Strong attention to detail and accuracy in data management and document handling. Familiarity with CRM customization, document management software, Share Point, andversion control practices. Basic understanding of data analysis and reporting tools. Excellent organizational and multitasking skills. Strong communication skills, with the ability to train and support users at all levels. Technical troubleshooting skills and experience with data import/export processes. Preferred Skills: Experience with automation tools for document management and workflow optimization. Knowledge of data governance practices, document retention requirements, andcompliance standards. Proficiency in Share Point and other document management systems. Understanding of sales, customer service, or project management workflows. Ability to develop training materials and conduct training sessions for staff. Experience: 0-3 years of experience, preferably with a focus on solar or renewable energy projects. Psychosocial Skills /Human Skills/Behavioural Skills Strong analytical, organizational, and problem-solving skills. Management experience a plus. Entrepreneurial mindset with the ability to take ideas and run with them from conceptto conclusion. Technical understanding of clean energy business processes Exceptional verbal and writing communication skills with superiors, peers, partners, andother stakeholders. Excellent interpersonal skills while managing multiple priorities in a fast-paced and everchangingenvironment.
