We are seeking an experienced Administrative Supervisor to oversee the daily support operations of our organization and develop efficient administrative procedures. Our goal is to ensure all support activities run smoothly and effectively, allowing other operations to function efficiently.

Key Responsibilities:

  • Developing and coordinating administrative procedures and systems to streamline processes
  • Evaluating admin staff performance and providing coaching and guidance to ensure maximum efficiency
  • Monitoring inventory of office supplies and purchasing new materials while adhering to budget constraints
  • Overseeing facilities services, maintenance activities, and tradespersons (e.g electricians)
  • Organizing and supervising other office activities (recycling, renovations, event planning etc.)
  • Housingkeeping/Security/Pantry/Cleanliness Management.
  • Ensuring operations comply with policies and regulations
  • Staying informed about organizational changes and business developments
  • Maintaining a smooth flow of information within the company to facilitate other business operations
  • Negotiating with vendors and travel agents for optimal deals
  • Managing calendars and arranging travel itineraries and accommodations for employees (Domestic & International)
  • Vendor Development/Management - selecting vendor, coordination, delivery commitments
  • Purchasing, re-ordering and maintaining housekeeping supplies and other inventory.
  • Maintenance & upkeep of all office assets.
  • AMCs (Annual Maintenance Contracts)
  • Liasoning/maintaining Good relations with Govt bodies & police officials.
  • Tracking expenses to ensure compliance with cost budgets
  • Submitting MIS reports on Administration expenses to relevant Senior Authorities
  • EHS & fire safety measures

Requirements:

  • Ability to work independently with minimal supervision
  • Excellent documentation skills using MS Word, PowerPoint, Excel etc.
  • Strong interpersonal skills and willingness to communicate with clients, colleagues, and management
  • Good time management skills, including prioritizing, scheduling, and adapting as necessary
  • Excellent Oral & Written Communication skills
  • Team player with excellent Admin support services skills
  • Proficient in mailing communication and basic drafting
  • Pro-active and reliable individual with ability to perform well under pressure
