Procurement Control Specialist

Job Summary

This role involves verifying invoice prices against purchase order prices and maintaining accurate records of price agreements and updates.

Key Responsibilities:

  • Invoice Validation: Verify and validate invoice prices against purchase order prices and current maintained master data prices.
  • Investigation and Mitigation: Investigate root causes of price discrepancies and inconsistencies on vendor invoices, and improvise on mitigation factors.
  • Accurate Payments: Assist accounts payable department to ensure that invoices are paid accurately and on time.
  • Collaboration and Resolution: Collaborate with vendors and internal departments to address and resolve invoice-related inquiries/discrepancies.
  • Debit/Credit Notes: Generate Debit/Credit Note requests and maintain accurate records of price agreements and updates.
  • Communication and Negotiation: Contact vendors to clarify discrepancies and negotiate corrections.
  • Tracking and Follow-up: Track and follow up on credit notes, debit notes or revised invoices.
  • Internal Controls and Compliance: Ensure adherence to internal controls and procurement policies.
  • Audit and Reporting: Support audit and compliance activities with documentation and reporting.
  • Continuous Improvement: Generate reports on invoice discrepancies, resolution timelines and supplier performance, and contribute to continuous improvement initiatives in invoice control processes.

Required Skills and Qualifications:

  • Education: Bachelor's degree in business (retail or related field).
  • Experience: 2+ years of experience in Accounts Payable or vendor invoice control analyst role.
  • Pricing Agreement Understanding: Strong understanding of pricing agreements.
  • Soft Skills: Excellent communication and negotiation skills, detail-oriented with strong analytical and problem-solving abilities.
  • Work Environment: Ability to work independently and manage multiple priorities, experience in a Shared Service Center or multinational environment.
  • Technical Skills: Familiarity with global pricing structures and multi-currency transactions.
