Job Overview:

The Operations Manager will oversee the daily execution of various teams, ensuring seamless collaboration and goal-oriented outcomes. This individual will be responsible for managing service level agreements, developing operational procedures, streamlining cross-functional workflows, and driving measurable performance improvements.

Key Responsibilities:

  1. Team Leadership & Scheduling: Manage team pods across different departments; create staffing plans, capacity schedules, and shift coverage.
  2. Process & SOPs: Design, document, and enforce standard operating procedures for each stage—offer-to-onboard, resume enhancement, job submission, interview coordination, and training completion.
  3. Pipeline Throughput: Monitor pipeline dashboards; identify and eliminate bottlenecks to improve time-to-onboard, submissions per day, interviews scheduled, offer rate, and join rate.
  4. Training & Upskilling Ops: Coordinate curricula, trainer calendars, candidate cohorts, assessments, and certification tracking; ensure readiness for placements.
  5. Onboarding Excellence: Ensure accurate documentation, agreements (e.g., electronic signatures), background checks, and system access; maintain zero-defect records.
  6. Quality & Compliance: Conduct quality assurance checks on resumes, submissions, and communications; uphold data privacy and maintain audit-ready records.
  7. Cross-Functional Coordination: Collaborate with HR, Finance/Collections, and Sales for smooth handoffs (e.g., invoices, payments, client requirements).
  8. Automation & Tools: Champion CRM/ATS hygiene, automate routine tasks, and standardize reporting.
  9. Reporting & Reviews: Daily/weekly management information systems, root-cause analyses, corrective action plans, and leadership updates.

Requirements:

  • Experience: 5+ years in operations management within staffing/recruiting, edtech/training, business process outsourcing, or services environments; proven people management (15–50 headcount).
  • Skills: Strong program/project management (roadmaps, SLAs, RAID logs), data-driven decision-making, and an obsession with execution.
  • Tools: Proficiency with CRM/ATS (preferably Salesforce), Google Sheets/Excel (lookups, pivots), and collaboration tools (Slack, Zoom, WhatsApp Business or similar).
  • Communication: Excellent communication, stakeholder management, conflict resolution, and coaching skills.
  • Availability: Comfort with flexible scheduling and U.S. client alignment; thrive in a fast-paced, target-driven setup.

Preferred Qualifications:

  • Salesforce familiarity (Reports, Dashboards; Flows/automation exposure).
  • Experience with electronic signature and document workflows, and basic finance handoffs (invoices, collections).
  • Understanding of U.S. hiring terms & visas (OPT/CPT, H-1B/EAD, W-2/C2C).
  • Exposure to training operations (cohort management, assessments, LMS).
  • Process improvement frameworks (Lean/Six Sigma mindset).
