This is a full-time contract role for 1 year, with a completion bonus. Extension of contract/conversion to permanent is possible but not guaranteed.

Job Summary

We are seeking a proactive and meticulous Executive Assistant, who will provide dedicated on-site support to a team of professionals and executives remotely. You will be essential to the smooth operation of daily activities; coordinating complex schedules, travel arrangements, meeting preparation and internal communication.

  • Manage calendar and administrative tasks for senior executives, which includes deconflicting meetings and appointments, and management of inbound/outbound communications.
  • Provide ad-hoc administrative support for executives remotely.
  • Coordinate complex travel arrangements, such as itineraries, flights, accommodations, ground transfers and visa-related clearance.
  • Manage confidential information with discretion and professionalism and organize special projects ensuring seamless execution.
  • Liaise effectively with internal and external stakeholders, building and maintaining strong relationships on behalf of the team.
  • Welcome guests with warmth, decorum and professionalism at the reception.

Requirements:

- 3-5 years of executive support to senior management in multinational companies

- Prior experience with client/customer interaction is ideal

- Professional proficiency (read, write and speak) in English

- Demonstrated ability in managing at least 3 calendars

- Outstanding verbal and written communication skills

- Exceptional interpersonal relationship management
