Job Role:

The Finance and Business Administration Manager oversees day-to-day financial management, statutory compliance, procurement, insurance administration, and operational support.

Key Responsibilities:

  • Financial Management
    • Establish accounting systems and processes for timely bookkeeping, reconciliations, and financial reporting.
    • Prepare monthly, quarterly, and annual financial statements in accordance with statutory requirements.
    • Monitor expenses, budgets, and cash flow to support sustainable business operations.
    • Liaise with finance teams to support consolidated reporting, audits, and cross-border financial coordination.
  • Payroll, Taxation, and Compliance
    • Oversee employee payroll processing and ensure compliance with labour, tax, and provident fund laws.
    • Manage TDS, GST, and other statutory filings with relevant authorities.
    • Maintain accurate documentation for audits and ensure all statutory registers are up to date.
  • Insurance and Risk Management
    • Lead the procurement, review, and renewal of essential business insurance policies, including public liability insurance and cybersecurity insurance.
    • Liaise with brokers and insurers to ensure coverage levels are appropriate to operational risk profiles.
    • Monitor insurance compliance obligations under lease agreements and service contracts.
    • Maintain insurance documentation and respond to incidents or claims.
  • Financial Instruments and Banking Infrastructure
    • Establish banking relationships and manage account structures for operational efficiency.
    • Ensure compatibility with accounting platforms, including direct bank feeds.
    • Support the setup of digital payment systems and vendor management tools.
  • Procurement and Office Operations
    • Manage procurement of IT equipment, software licences, and office supplies.
    • Coordinate with co-working providers and vendors to ensure smooth day-to-day operations.
    • Ensure value-for-money and cost efficiency across administrative expenditures.
  • Administrative Leadership and Record-Keeping
    • Develop and maintain internal administrative policies and workflows.
    • Oversee documentation of employee records, contracts, lease agreements, and regulatory filings.
    • Support onboarding and coordination with external consultants.
