Job Summary

The Client Services Executive is a critical role in our organization, serving as the single point of contact for interacting with customer stakeholders and managers. This position requires exceptional coordination and logistical skills to ensure smooth delivery of training programs, events, and workshops.

The ideal candidate will be responsible for managing multiple tasks and activities, working independently in a flexible and organized manner, and being customer-focused. If you are proactive, detail-oriented, and able to handle pressure, we encourage you to apply.

Key Responsibilities

This role involves coordinating and scheduling arrangements for training programs, events, and workshops, including all logistical support. The successful candidate will be responsible for:

  • Managing and administering all activities end-to-end for assigned programs.
  • Pre-work tracking and following up with participants to ensure completeness.
  • Booking venues for offsite activities or social events.
  • Providing support and help for all types of training events.
  • Managing nomination lists for programs and working with onsite teams.
  • Marketing programs if required, in line with client process requirements.
  • Ensuring offsite training event activities are performed according to the 'Event Readiness Process/System'.
  • Communicating with instructors and outside vendors using both written and spoken correspondence.
  • Coordinating and blocking instructor dates and timings in line with training and workshop calendars.
  • Arranging training materials, manuals, handouts, and other instructional aids, as well as equipment setup and refreshments.
  • Managing training logistics, including room booking, access management, photographer, etc., and sharing detailed information with participants and trainers in advance.
  • Monitoring completion of training activities such as pre-work and certificates.
  • Updating Wiki/SharePoint/Global Website or client-required site.
  • Activating registration links, rosters, and logistic management on the LMS.
  • Communicating with internal and external vendors and ensuring readiness of Purchase Orders.
  • Managing LMS Administration activities for blended trainings.
  • Maintaining attendance records and feedback sheets, issuing certificates, etc.
  • Generating reports from stated tools and updating employee databases according to process.
  • Calibrating with customer stakeholders for any changes or updates in training events or programs.
  • Ensuring smooth running of events as per program/course metadata in CRM.
  • FOLLOWING WORKFLOW/COMMUNICATION PROCESS ON CRM AND ADHERENCE OF CASE MANAGEMENT PROCESS.
Requirements

To succeed in this role, you should possess:

  • 1-4 years of experience in a corporate learning environment or performing event coordination services for corporate clients.
  • Experience interacting with different levels of customer stakeholders.
  • An outgoing personality, good communication skills, proficiency in organizing and decision-making.
  • Attention to detail, ability to work easily with others, and being a team player.
  • Ability to work independently in a flexible, organized, and adaptable manner, and being customer-focused.
  • Must be proactive, take initiative, and be able to trouble-shoot and handle pressure.
  • Open to working globally, different time zones, willing to work in shifts and weekends if required.
  • Possess excellent written and verbal communication skills.
  • Be proficient in Computer (MS Office, Excel, Power Point, SharePoint, and CRM tools).
  • Possess job permit to work in specific geography if required.
  • Desirable to have knowledge of Oil & Gas industry domain.
