Operations Coordinator

About the Job:

We are seeking an experienced Operations Coordinator to supervise daily support operations and plan efficient administrative procedures. The goal is to ensure all support activities are carried out efficiently and effectively.

  • Key Responsibilities:
  • Plan and coordinate administrative procedures, streamlining processes for maximum efficiency.
  • Assess staff performance, provide coaching, and guidance to achieve optimal results.
  • Monitor office supplies, purchase new materials while adhering to budget constraints.
  • Oversee facilities services, maintenance activities, and tradespersons (electricians).
  • Organize and supervise other office activities (recycling, renovations, event planning).
  • Manage housekeeping, security, pantry, and cleanliness.
  • Ensure operations adhere to policies and regulations.
  • Stay up-to-date with organizational changes and business developments.
  • Foster a smooth flow of information within the company to facilitate other business operations.
  • Negotiate with vendors and travel agents for the best deals.
  • Manage calendars, arrange travel itineraries, and accommodations for employees (domestic & international).
  • Select, coordinate, and manage vendors.
  • Purchase, reorder, and maintain housekeeping supplies and inventory.
  • Maintain and upkeep all office assets.
  • Manage Annual Maintenance Contracts (AMCs).
  • Maintain good relations with government bodies and police officials.
  • Track expenses to ensure compliance with cost budgets.
  • Submit reports on administration expenses to senior authorities.
  • EHS and fire safety measures.
Requirements:

To be successful in this role, you will need:

  • Ability to work independently with minimal supervision.
  • Excellent documentation skills using MS Word, PowerPoint, Excel, etc.
  • Strong interpersonal skills, including communication with clients, colleagues, and management.
  • Good time management skills, prioritizing, scheduling, and adapting as needed.
  • Excellent oral and written communication skills.
  • A strong team player with experience in admin support services.
  • Basic drafting skills and mailing communication abilities.
  • Proactive and reliable individual with the ability to perform well under pressure.
