Import Executive Job Description

About the Role:

The Import Executive is responsible for ensuring smooth and efficient import operations. This role involves coordinating with various stakeholders, including factories, freight forwarders, shipping lines, and customers.

Key Responsibilities:

  • Documentation Management: Responsible for pre and post- documentation, including Export Invoice, Packing List, BL Draft, and other related documents.
  • Insurance Certificates: Generate Insurance Certificates via online portal and maintain sufficient insured amount balance.
  • Hazardous Cargo Management: Handle hazardous cargo by understanding Haz Class, Packing Groups, and preparing Dangerous Goods Declaration (DGD).
  • Communication and Coordination: Manage all communication and coordination with Factory, CHA, Forwarding Agent, Transporter, Shipping Lines & Customers.
  • Negotiation: Negotiate Air or Sea freight with forwarders, shipping line or CHA.
  • Quality Control: Check and approve SB Checklists /BOE Checklist/ AWB Draft / BL Draft, etc.
  • Booking Coordination: Coordinate with freight forwarders for flight / vessel booking.
  • Courier Shipments: Arrange courier shipments thru DHL / FedEx.
  • Compliance: Understand Letter of Credit (LC) Shipments.
  • Query Resolution: Ensure regular review and understanding requirements of SCOMET and Narcotics for every shipment.
  • Transport Arrangement: Resolve queries from export customers promptly and efficiently.
  • Factory Stuffing: A arrange transport for FCL shipments, factory stuffing.
  • COO Application: Apply for Preferential & Non-preferential COOs online.
  • Multi-tasking: Efficiently handle multiple shipments at a time.
  • Cargo Tracking: Send final shipment documents to customers and keep track of cargo till it is delivered to client.
  • Record Keeping: Maintain accurate records for all export shipments, including up-to-date status of EGM and RODTEP benefit.
  • DGFT Applications: Knowledge of RODTEP Scrip generation and other DGFT / ICEGATE applications.
  • Packing Consideration: Arrange relevant packing considering nature of shipments, especially for dangerous goods.
  • Regulatory Compliance: Ensure compliance with import / export regulations, including HS codes, tariffs, and taxes.
  • Data Management: Maintain accurate records and reports, including import data and compliance documents.

Required Skills:

  • MS Office Proficiency: Proficiency in MS Office.
  • Teamwork: Good communication skills and the ability to work as part of a team.
