Job Summary

A highly motivated and organized individual with a proven track record of delivering exceptional administrative support to senior-level executives. The role involves juggling multiple tasks, managing competing deadlines, and serving as the single point of contact for all operational needs.

Key Responsibilities and Tasks

  • Act as the primary liaison between executives, employees, clients, and external partners, ensuring seamless communication and collaboration.
  • Manage information flow in a timely and accurate manner, utilizing strong organizational and time management skills.
  • Coordinate executive calendars, schedule meetings, and make travel arrangements, demonstrating proficiency in multitasking and attention to detail.
  • Track daily expenses and prepare regular reports, showcasing financial acumen and analytical skills.
  • Format information for internal and external communication, including memos, emails, presentations, and reports, highlighting excellent writing and presentation skills.
  • Collaborate closely with other departmental EA peers to ensure cohesive support and share best practices.
  • Maintain accurate filing systems for corporate records, documents, and reports, emphasizing data security and confidentiality.
  • Take minutes during meetings and direct phone calls accordingly, demonstrating strong listening and note-taking skills.
Required Skills and Qualifications
  • Bachelor's Degree or equivalent experience as an Executive Assistant, Personal Assistant, or similar role with up to 8 years of experience.
  • Proficient in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational and time management skills, with the ability to prioritize and handle multiple assignments efficiently.
  • Familiarity with office equipment and software (e.g., e-calendars and copy machines).
  • Experience with new hire onboarding and team space planning is beneficial.
  • Strong verbal and written communication skills are essential, with the ability to communicate effectively with diverse stakeholders.
  • High level of discretion and confidentiality required, with a proven track record of maintaining sensitive information.
