Job Title: Operational Support Specialist

Job Description

We are seeking an Operational Support Specialist to join our team. As a key member of our operations department, you will be responsible for providing essential support services during out-of-hours periods.

  • Filling shifts in a timely and efficient manner to meet client demands.
  • Responding to candidate and client inquiries outside of regular business hours in a professional and courteous manner.
  • Managing new agency booking requests received during out-of-hours periods, ensuring seamless integration with our existing systems.
  • Uploading shifts to the CRM, including those received from RCs or clients via email or portals.
  • Chasing candidates for shift availability, cross-checking client-provided spreadsheets to ensure accuracy.
  • Reviewing client rota and ensuring all shifts in the CRM match the rota, making amendments as necessary.
  • Managing late logins and cancellations that occur during OOH periods.
  • Uploading new candidate enquiries to the CRM and contacting them for an updated CV.
  • Completing client compliance checklists for new candidates.
  • Providing support to the compliance team as needed, particularly with new candidate registrations.
  • Chasing compliance documents from working candidates over weekends when they are unresponsive during regular business hours.
  • Continuously monitoring client portals and emails throughout the day.
  • Chasing missing timesheets as required.
  • Maintaining and updating real-time information in client trackers.
  • Maintaining and updating the OOH handover sheet in real time.
