Job Overview
We are seeking a highly skilled and organized professional to fill the role of Executive Support Specialist. This dynamic opportunity will provide top-notch support to our management team, ensuring seamless scheduling and coordination, efficient record-keeping, and effective communication.
Key Responsibilities:
- Direct phone calls to the correct person or department with precision and professionalism.
- Maintain calendars for staff personnel, guaranteeing smooth scheduling and coordination.
- Organize and manage physical and electronic files with utmost care and attention to detail.
- Assist with basic bookkeeping duties, including invoicing and spending monitoring, with a keen eye for accuracy.
- Handle incoming and outgoing correspondence with discretion and tact.
- Arrange travel and lodging reservations with ease and efficiency.
- Support meeting and event planning, including agenda creation and minute taking, with a focus on timeliness and organization.
- Perform general office chores, such as ordering supplies, with a sense of urgency and responsibility.
- Maintain the confidentiality of sensitive information with absolute integrity.
Required Skills and Qualifications
- A minimum of 5 years to 12 years of experience working as a secretary or administrative assistant, with a proven track record of success.
- Proficiency in Microsoft Office Suite and other office management tools, with a strong understanding of their applications and limitations.
- Excellent communication and interpersonal skills, with the ability to effectively interact with colleagues, clients, and stakeholders at all levels.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and operate effectively under duress.
- Meticulous attention to detail and precision, with a keen eye for accuracy and a commitment to excellence.
