Job Title: Export Documentation Specialist

Job Summary

We are seeking an experienced and detail-oriented individual to join our team as an Export Documentation Specialist. In this role, you will be responsible for preparing and verifying export documentation, coordinating with shipping lines and customs house agents, and ensuring timely data entry in relevant portals.

Key Responsibilities
  • Prepare and verify all export documentation including shipping bills, commercial invoices, packing lists, certificates of origin, and other statutory documents.
  • Coordinate with customs house agents and shipping lines for smooth processing and submission of export documents.
  • Ensure timely and accurate data entry in relevant portals (ICEGATE, DGFT, internal ERP) and maintain systematic filing of all export-related documents.
  • Coordinate with operations and warehouse teams for cargo readiness, stuffing, and timely gate-in of containers to meet vessel cut-offs.
  • Ensure export documents comply with applicable customs, DGFT, and international trade regulations, avoiding errors and delays.
  • Handle customer communication related to documentation status, clarifications, and ensure proactive updates throughout the process.
  • Prepare daily MIS reports related to export documentation status, pending shipments, and exceptions, and share with relevant stakeholders.
  • Maintain proper records of export shipments, BL copies, acknowledgements, and documentation receipts for audits and customer references.
Requirements
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to work under pressure and meet deadlines.
  • Knowledge of customs regulations and procedures.
  • Proficiency in MS Office and ERP systems.
