Admin Team Lead

Job Description:

  • Supervise the administration of exam activities and manage the admin team's daily operations.
  • Define key roles and responsibilities for team members, communicate with management to coordinate tasks and ensure effective team performance.
  • Report directly to the regional admin head on a daily basis to discuss incident management, project progress, and other administrative matters.
  • Monitor and report on key projects, plans, and progress to senior management.
  • Manage communications, handle exam day and non-exam day administrative tasks, and coordinate with team members to ensure smooth operations.
  • Minimize the risk of incidents on exam days related to administrative services.
  • Assist in the recruitment, training, and development of team members.
  • Establish controls and monitoring mechanisms to optimize the admin team's performance within the hub.
  • Standardize processes at all exam venues within the hub to improve efficiency.
  • Manage vendor relationships, support the regional head in finalizing contracts and invoices.
  • Publish regular dashboards on key performance indicators for senior management and regional admin heads.
  • Serve as the central point of contact for facility-related matters within the hub.
  • Ensure compliance with SLA/SLC requirements at exam venues.
  • Oversee VidZ/LISP partnerships, conduct regular meetings, and address audit points.
  • Deploy temporary staff or contractors at exam venues as needed.
  • Support the selection of prospective partners or venues based on defined parameters within the region.
  • Maintain and monitor legal compliance for all exam venues.
  • Develop and implement contingency/bcp plans.
  • Conduct surprise checks at exam venues to ensure adherence to guidelines.
  • Handle crisis situations and coordinate with relevant teams.
  • Manage the deployment and coordination of manpower agencies to meet staffing needs.
  • Conduct audits of exam venues to ensure quality and compliance.
