The Role

As a Sales and Service Coordinator, you will be responsible for coordinating consultant attendance on board vessels, liaising with agents, owners, and managers as needed, and reporting back to your line manager. You will also provide out-of-office support when required, based on seniority.

Key Responsibilities and Tasks

• Assist in planning vessel attendance for consultants
• Organise and coordinate with other V.Ships Offices, Owners, and Managers to obtain the latest position list of vessels and update them regularly.
• Arrange travel, hotel accommodations, and prepare itineraries for Consultants as needed.
• Maintain accurate manpower allocation files and prepare staff salary slips monthly.
• Develop and maintain an organised filing system for operations, allowing for easy reference and prompt retrieval of information.
• Ensure awareness of, update, and control daily, weekly, and monthly schedules for the line Manager.
• Manage Purchase Order requests and follow-ups, raise and issue Work Instructions, Invoices, etc.
• Maintain housekeeping of projects and consultants' details in the database, ensuring accurate, up-to-date admin and invoicing records.
• Perform ad hoc tasks as directed by the line manager.

Requirements

• Microsoft Excel experience
• Be a team player with good communication skills
• Database competency/knowledge will be useful
• Any previous experience with the shipping industry will be advantageous
