Job Overview

The role of the Site Admin Manager at Tata Electronics involves overseeing the overall administrative functions of the organization, ensuring smooth day-to-day operations and efficient management of office staff. This position requires strong leadership and organizational skills to coordinate between departments and implement policies that support the organization's efficiency and compliance.

Main Responsibilities:

  • Office Management
    • Oversee the day-to-day administrative functions of the office, ensuring a productive work environment.
    • Supervise office staff, including administrative assistants, receptionists, and clerical personnel, providing guidance and support as needed.
    • Maintain office supplies inventory and ensure all equipment is in proper working condition.
    • Ensure office spaces are clean, organized, and conducive to productivity.
  • Policy Implementation
    • Develop and enforce administrative policies and procedures in compliance with company standards.
    • Ensure all employees are informed of and adhere to the organization's administrative policies.
    • Review and update policies as needed to improve operational efficiency.
  • Resource Allocation
    • Manage office budgets and ensure cost-effective use of resources.
    • Coordinate with the finance department to handle invoices, payments, and budget tracking for administrative expenses.
    • Source and negotiate with vendors for office supplies, services, and equipment.
  • Communication & Coordination
    • Act as the point of contact between senior management and office staff, ensuring smooth internal communication.
    • Ensure all company communications, such as memos, announcements, and notices, are distributed in a timely manner.
    • Facilitate coordination between various departments for administrative support, meetings, and other operational needs.
  • Document Management
    • Oversee document control processes, ensuring proper filing, storage, and retrieval of important company documents.
    • Maintain accurate records, including employee files, contracts, and office-related documentation.
    • Ensure compliance with data protection regulations and confidentiality policies.
  • Facility Management
    • Manage the maintenance and security of office facilities, coordinating with external vendors and contractors.
    • Ensure compliance with health, safety, and environmental regulations within the office environment.
    • Plan and manage office renovations, relocations, or space adjustments as needed.
  • Event and Meeting Coordination
    • Organize company events, meetings, and training sessions, ensuring all logistical arrangements are in place.
    • Prepare agendas, take meeting minutes, and distribute follow-up actions as required.
  • Compliance & Legal
    • Ensure that administrative processes adhere to all relevant laws and regulations.
    • Work with legal or HR departments to manage compliance issues related to employee administration, contracts, and corporate documentation.
