Key Responsibilities

Front Office Coordinator

  • Provide a warm welcome to visitors and clients, setting the tone for a positive experience.
  • Maintain a well-organized and presentable reception area, reflecting the company's image.
  • Efficiently handle incoming calls, directing them to the relevant parties.
  • Ensure timely receipt and distribution of mail and deliveries.

Administrative Support

  • Coordinate meetings and manage office calendars, ensuring seamless scheduling.
  • Monitor and maintain office supplies and inventory, preventing stockouts and waste.
  • Prepare and organize documents and reports, facilitating informed decision-making.

Visitor Management

  • Accurately log visitors and issue badges, maintaining a secure and respectful environment.
  • Direct visitors to meeting rooms and coordinate with security as needed, ensuring a smooth experience.

Communication and Coordination

  • Serve as the primary point of contact for internal and external communications, providing clear and timely responses.
  • Relay messages and coordinate administrative tasks with other departments, fostering collaboration and efficiency.

Support to HR and Facilities

  • Assist HR with onboarding new employees, ensuring a smooth transition.
  • Coordinate with facilities for maintenance, ensuring a safe and comfortable work environment.
  • Help organize office events, promoting team building and morale.

Record Keeping

  • Maintain accurate contact lists, facilitating communication and collaboration.
  • Track office expenses and petty cash, ensuring transparency and accountability.

Problem Solving

  • Address and escalate front desk issues, providing timely and effective solutions.
  • Offer general support to staff and visitors, demonstrating a commitment to customer service.
