Job Description:

Main duties and responsibilities for this role include:

  1. Source, procure, and acquire spare parts, consumables, and technical equipment for vessels.
  2. Identify, evaluate, and negotiate with suppliers to secure competitive pricing and high-quality products.
  3. Build and maintain strong relationships with vendors and service providers to ensure reliable support.

Key tasks in order processing and coordination include:

  1. Process purchase requisitions from vessels and fleet management teams efficiently.
  2. Ensure accurate and timely order placement, tracking, and follow-ups.
  3. Coordinate with logistics and supply chain teams to arrange timely delivery of goods to vessels at ports worldwide.

Responsibilities also involve budgeting and cost control, including:

  1. Supporting the monitoring and control of procurement budgets.
  2. Identifying opportunities for cost savings without compromising on quality or safety.
  3. Reviewing and verifying supplier invoices and ensuring accurate documentation for payment processing.
  4. Ensuring timely clearance of invoices in the system and following up on pending payments.

In addition, this role requires compliance and documentation, involving:

  1. Ensuring all procurement activities are in compliance with company policies, maritime regulations, and classification society requirements.
  2. Maintaining accurate records of purchases, contracts, and vendor agreements.
  3. Assisting during audits related to procurement and inventory management.

The role also involves providing technical support and communication, including:

  1. Collaborating closely with vessel superintendents and technical teams to understand and fulfill purchasing requirements.
  2. Providing alternative solutions when specific parts or equipment are unavailable.
  3. Keeping vessels updated on order status and delivery timelines.

Desirable skills and qualifications include:

  • A solid understanding of vessel maintenance and dry-docking requirements.
  • Familiarity with international maritime regulations.
  • Proficiency in procurement and inventory management software.
  • Experience in international logistics and customs clearance for marine spares.
