Job Overview:

This role requires supervision and mentoring. The main responsibility is to maximize field consultants' time with clients while developing trusting relationships with assigned staff and operations Management.

You will manage orders timeliness, coordinate production schedules for field staff, provide exceptional customer service, and establish efficient schedules for assigned staff.

This includes organizing and populating schedules for internal customers through defined methods, coordinating with external customers, and developing visit agendas.

As a key member of the scheduling services team, you will operate as a vital part of our team focused on customer experience, schedule efficiency, and logistics to support assigned field service personnel.

You will also interact daily with clients and brokers, follow best practices, and meet Service Level Objectives to provide high levels of client satisfaction.

Key Responsibilities:

  1. Under training and mentoring, you will organize and schedule assigned field engineering or jurisdictional visits by overseeing workload and calendars; communicate with clients and coordinates visit times; prepare and distribute visit agendas; work with work assignment team and Client Service Teams to resolve problems with visiting a client's site.
  2. Establish working partnerships with external clients and internal clients.

Requirements:

We are looking for individuals with:

  • 6 months to 1 year of experience required to perform essential job functions.

Preferred Qualifications:

The ideal candidate will have:

  • Customer service and work scheduling experience or strongly correlated work experience.
  • Knowledge of Microsoft Office applications, specifically Excel and Outlook, with the ability to learn new systems.
  • Good communication skills, both oral and written.
  • A team-player attitude with the ability to work independently.
  • Problem-solving abilities, attention to detail, self-motivation, solid math aptitude, and analytical skills.
  • Time management, flexibility, adaptability to change, and the ability to work well under pressure.
  • Ability to multitask.
  • Bilingual skills are a plus.
  • Customer service orientation.

Must-Have Skills:

The successful candidate will possess:

  • Proficiency in using MS 365 and the ability to learn proprietary business systems and workflow tools.
  • Fluent reading/writing English.
  • Prefer additional language skills: French, Spanish, German, Portuguese.

Education and Certifications:

An undergraduate degree or equivalent combination of education and work experience is preferred.
