Role Overview
Project Coordinator
The ideal candidate is a highly organized and detail-oriented individual with a proven track record in project coordination and administration. With a focus on delivering high-quality results, this role plays a key part in supporting project teams in achieving their objectives.
Responsibilities
- Meeting Coordination: Coordinate and schedule meetings, workshops, and other project-related gatherings, ensuring timely and effective communication among stakeholders.
- Agenda Preparation: Prepare agendas for meetings and distribute them to relevant participants in advance, promoting clear expectations and efficient discussions.
- Meeting Minutes: Attend meetings and create accurate minutes of meetings (MoM) to document discussions, decisions, and action items, maintaining a record of key takeaways.
- Action Item Follow-up: Follow up on action items discussed in meetings to ensure timely completion, maintaining a high level of productivity and efficiency.
- Record-Keeping: Maintain comprehensive records of assignments, deadlines, and progress updates, providing a clear overview of project status.
- Collaboration: Collaborate with project leads, managers, and team members to track assignments and milestones, fostering a collaborative environment.
- Communication: Communicate effectively with stakeholders to provide updates, gather feedback, and address concerns, ensuring open and transparent communication.
- Administrative Support: Assist in project planning, resource allocation, and task prioritization as needed, providing administrative support to project teams.
- Document Management: Provide administrative support to project teams, including document management and file organization, maintaining a well-structured and easily accessible repository.
- Project Awareness: Stay updated with project timelines, priorities, and objectives to support decision-making and planning processes, ensuring a clear understanding of project scope and goals.
Requirements
- Education: Bachelor's degree in Business Administration, Project Management, or a related field (Master's degree preferred), with a strong foundation in business principles and project management methodologies.
- Experience: Proven experience (3+ years) in information technology or cybersecurity-oriented project coordination, administration, or similar roles, demonstrating a track record of success in project coordination and administration.
- Skills: Excellent organizational skills with the ability to multitask and prioritize tasks effectively, strong communication skills, both written and verbal, with the ability to interact with stakeholders at all levels, proficiency in productivity tools such as Microsoft Office Suite, project management software, and collaboration platforms, and a detail-oriented mindset with a focus on accuracy and thoroughness in work.
- Collaboration: Ability to work independently and collaboratively in a fast-paced environment, with a strong focus on teamwork and collaboration to achieve project objectives.
- Methodologies: Familiarity with project management methodologies and practices is a plus (e.g., Agile, Scrum, Kanban), with a strong understanding of project management principles and practices.
