Our organization seeks a meticulous Payroll Assistant to maintain precision in every paycheck. The ideal candidate will ensure timely and accurate processing, adhering to our internal policies and client requirements.
Key Responsibilities:- Timesheet Review
The Payroll Assistant will carefully review timesheets submitted on a weekly, fortnightly, or monthly basis, verifying hours worked, leave taken, and overtime. This process ensures that all entries are accurate and compliant with our company's standards.
Mailbox ManagementEffective communication is crucial in this role. The successful candidate will manage the payroll department's mailbox, ensuring timely responses to queries, organizing incoming timesheets and documents, and maintaining a clean and efficient communication flow.
Data VerificationThe Payroll Assistant must be vigilant in spotting discrepancies and ensuring that all payroll data is accurate before processing. Double-checking data entries for inconsistencies or errors is a critical aspect of this role.
Processing ExcellenceMaintaining flawless records is essential for this position. The Payroll Assistant will accurately save timesheets and update Excel trackers, cross-verifying data and ensuring that all files are organized and up-to-date.
Communication SupportSupporting team members by identifying and communicating any special payroll instructions, such as adjustments, bonuses, or deductions, is a key responsibility. This ensures that the payroll team applies these correctly during processing.
Document PreparationAssisting in preparing supporting documentation for client invoices is another vital task. The Payroll Assistant will ensure that all necessary timesheet and payroll data is available and correctly formatted for billing purposes.
Record KeepingMaintaining payroll records is a significant responsibility. The successful candidate will update and maintain these records, ensuring they are complete, accurate, and stored securely for future reference and audits.
Confidentiality and TeamworkHandling sensitive employee information with integrity and discretion, following data protection protocols to safeguard payroll data, is a fundamental requirement. Additionally, working closely with other team members to meet deadlines and support shared goals is essential for this role.
Requirements:- Experience:
- 1-2 years of experience in payroll processing or a similar corporate role, with a solid understanding of payroll cycles and administrative processes.
- Analytical Skills:
- Strong problem-solving skills to handle payroll discrepancies efficiently.
- Attention to Detail:
- Precision is key in payroll; be meticulous in reviewing data, spotting errors, and ensuring accuracy.
- Communication:
- Strong verbal and written communication skills for interacting with team members, responding to queries, and documenting processes clearly and professionally.
- Tech Savvy:
- Proficiency in Microsoft Excel, including functions like VLOOKUP, pivot tables, and data validation. Familiarity with payroll software or ERP systems is an advantage.
