Job Description

Purpose of the Position (Job Summary)

This role involves overseeing and managing daily vehicle movement, dispatch operations, pipeline invoicing, and ensuring smooth logistics. It requires close collaboration with internal teams, external stakeholders, and managing compliance with regulatory requirements.

Key Individual Accountabilities:

  • Vehicle Movement & Dispatch Coordination:
    • Domestic Dispatch: Issue delivery orders, ensure checks are completed, supervise loading, and handover documents to drivers.
    • Export Dispatch: Coordinate with transporters, arrange containers, provide documentation, and follow up with Custom House Agents.
  • Pipeline Invoicing: Receive reports, raise invoices, coordinate with process team, and address invoice-related issues.
  • Cross-Departmental Coordination: Collaborate with marketing, communicate with customers, transporters, and drivers, and prioritize loading based on marketing needs.
  • Document Management & Reporting: Generate dispatch documents, maintain periodic reports, and update stock records in SAP.
  • Compliance & Audit: Handle documentation, participate in audits, manage digital signature certificates, and ensure safety regulations compliance.
  • Logistics & Incident Reporting: Conduct incident investigations, report to stakeholders, track and trace outbound vehicles, and schedule export container pickups.

Required Skills and Qualifications:

  • Bachelor's degree and Certification in Supply Chain Management / Material Management preferable
  • 5 to 10 years experience in sales/logistic coordination
  • Strong knowledge of logistics operations, export documentation, GST laws, SAP software, and inventory management systems
  • Excellent organizational, communication, and coordination skills
  • Ability to handle high volumes of daily transactions
  • Familiarity with safety standards, ISO compliance, and audit processes is a plus
