Job Title: Regional Administrative Manager

The Role:

We are seeking a highly skilled and experienced regional administrative manager to lead our team's operational activities.

  • Complete ownership of managing regional admin operations & teams.
  • Define scope and key result areas for team members.
  • Communicate and coordinate with immediate management to develop strategic program and project goals.
  • Direct reporting to the zonal admin head – TCSiON on day-to-day activities, incident management etc.
  • Monitor and report key project activities, plans and progress.
  • Manage calls and discussions.
  • End-to-end exam day and non-exam day administrative activities management and team coordination.
  • Ensure zero incidents on exam day related to admin services.
  • Support recruitment, training and talent development of team members.
  • Define and deploy control and monitoring mechanisms for the admin team within the region.
  • Train and develop the admin team within the region.
  • Standardise processes at all exam venues.
  • Regional vendor management. Support the zonal head in finalising contracts and vendor invoices.
  • Publish regular dashboards on key performance parameters to the zonal admin head and senior management as needed.
  • Central point of contact for all facility-related matters at the regional level.
  • Ensure SLA/SLC at exam venues.
  • Governance over VIDZ/LISP partners, regular meetings and closure of audit points.
  • Contract management.
  • Support shortlisting prospective partners or venues identified by city heads based on defined parameters within the region.
  • Maintain and monitor legal compliance for all venues.
  • Prepare and deploy contingency/BCP.
  • Conduct surprise checks at exam venues.
  • Handle crisis situations.
  • Coordinate and manage with manpower agencies.
  • Conduct audits of exam venues.
  • Other duties assigned from time to time.

Must-Have Skills:

  • Good communication skills (written/verbal).
  • Strong technical knowledge of electrical equipment.
  • Experience in soft services facility management.
  • Facility operations and management experience.
  • Proven team management experience.
  • Conflict management experience.
  • Ability to work under extreme pressure.
  • Willingness to travel.
  • Good liaisoning with police and other local government departments.
  • Awareness of laws related to facility compliance and operations.
  • Vendor management skills.
  • Ability to take complete ownership, responsibility and accountability of assigned work.
  • Good computer knowledge (Microsoft Excel, Word, PowerPoint etc).

Good-To-Have Skills:

  • Professional certifications, additional language knowledge, strong analytical and logical understanding.
