Reports To: Managing Director (MD)

Job Summary:

We are seeking a highly organized, proactive and dependable individual to support the Managing Director (MD) in both professional and personal capabilities. The ideal candidate will have strong follow-up skills, excellent communication and the ability to manage multiple priorities seamlessly.

Key Responsibilities:

  • Act as the primary point of contact for the MD, managing calendars, meetings, emails and calls.
  • Proactively follow up with team members and external stakeholders to ensure timely completion of tasks and commitments.
  • Prepare, draft and manage correspondence, reports and presentations.
  • Maintain and organize data in Excel and other MS Office tools, including advanced functions (VLOOKUP, Pivot Tables, etc.).
  • Conduct research and prepare briefing notes or background material for meetings.
  • Coordinate with teams across departments to ensure smooth operations and execution of directives.
  • Manage confidential information with integrity and discretion.
  • Support in both business and personal tasks such as travel bookings, reservations, household coordination and errands.
  • Maintain and track delegation sheets, ensuring accountability on timelines.
  • Represent the MD professionally when liaising with clients, partners and internal staff.

Requirements:

  • Experience: 3–5 years in a similar role (Executive Assistant, Office Coordinator or high-level Administrative role).
  • Education: Graduate, preferably with secretarial or administrative background.

Essential Skills:

  • Exceptional follow-up and organizational skills.
  • Strong knowledge of MS Office, especially Excel and Word.
  • Excellent written and verbal communication in English.
  • Ability to draft letters, emails and formal communication independently.
  • Research and problem-solving skills.
