Job Title: Executive Office Administrator

Job Description:

We are seeking a highly skilled and organized Executive Office Administrator to provide exceptional support to our General Manager. The ideal candidate will have excellent organizational, communication, and interpersonal skills, as well as the ability to handle sensitive and confidential information with discretion.

  • Scheduling and Meetings: Arranging appointments and meetings for the General Manager, ensuring proper recording in the calendar/diary and documentation preparation.
  • Meeting Attendance and Minutes: Attending meetings and taking accurate minutes for future reference.
  • Visitor Management: Greeting and receiving visitors and guests on behalf of the General Manager, handling queries and concerns when necessary.
  • VIP Arrangements: Coordinating room and restaurant reservations for VIP guests and personnel as needed.
  • Document Management: Assisting the General Manager with official documents, filing and recording business documents as required.
  • Correspondence: Maintaining and distributing internal and external mail in an organized manner, handling independent correspondence when necessary.
  • Data Management: Assisting the General Manager in compiling guest data for service quality improvement and other necessary reports.
  • Office Supplies and Organization: Ordering and maintaining office supplies to ensure the Executive Office is well-equipped.
  • Confidentiality: Maintaining strict confidentiality regarding sensitive hotel matters and general office information.
  • General Office Support: Demonstrating knowledge of the hotel's organizational structure, cooperating with various departments, and assisting in managing priorities.

Required Skills and Qualifications:

  • Strong Organizational and Communication Skills: Proven ability to manage multiple tasks and communicate effectively with senior management and guests.
  • Professional Attitude and Demeanor: Possessing a professional attitude and demeanor, able to interact with senior management and guests.
  • Ability to Handle Sensitive Information: Able to handle sensitive and confidential information with discretion.
  • Administrative Experience: Previous experience in administrative or executive support roles, particularly in a hotel or similar environment.
  • Proficiency in Document Management: Proficient in document management, correspondence, and scheduling.
  • Excellent Interpersonal Skills: Excellent interpersonal skills and the ability to work well within a team.
  • Flexibility: Flexible to meet the needs of the General Manager and the wider team.
  • Problem-Solving and Multitasking: A proactive approach to problem-solving and multitasking.
