About the RoleThis is a highly professional and organized role, requiring exceptional customer service skills. The ideal candidate will have excellent communication skills, be able to multitask, and prioritize tasks in a fast-paced environment.
Key Responsibilities- Greeting and Assisting Visitors: Welcome visitors, clients, and delivery personnel courteously and professionally. Verify visitor identity, register guests, and provide visitor badges or passes when necessary.
- Telephone and Communication Management: Answer, screen, and transfer incoming phone calls using a multi-line telephone system. Take accurate messages and ensure timely delivery to the relevant staff members.
- Scheduling and Calendar Coordination: Manage appointment calendars for executives or departments, scheduling meetings and conferences. Coordinate room bookings and prepare meeting rooms with necessary equipment and materials.
- Administrative Support: Perform general clerical duties such as photocopying, scanning, filing, and data entry. Maintain office supplies inventory, reorder stationery and refreshments as needed.
- Maintaining Front Desk Area: Ensure the reception area is tidy, organized, and professionally presented at all times. Monitor security by controlling access to the building, logging entry and exit of staff and visitors.
