Senior Transfer Agent and Registrar

Job Description

The main objective of this role is to oversee the coordination with internal teams, external clients and stakeholders ensuring smooth operations and efficient service delivery.

Responsibilities:

• Ensure daily MIS updates from the team are received and reconciled accordingly.
• Regularly reconcile NFT details for updating investor records.
• Share communications regarding income distribution, Tax residency MIS, SoA, redemptions with investors.
• Perform month-end activities like DTR reconciliation, distribution fees working using RTA data.

Roles and Responsibilities:

1. RTA Coordination:
   • Cooperate with internal teams to ensure timely updates on various MIS reports.
   • Reconcile NFT details for all schemes on a regular basis.
   • Communicate effectively with investors regarding income distribution, Tax residency MIS, SoA, redemptions.
2. Client Servicing/Distribution Servicing:
   • Support in creating and implementing digital asset strategies.
   • Inform investor sales desk about daily queries raised by RTA on application forms.
   • Coordinate with distributors and share NAVs, distribution fees working.
   • Coordinate and share payouts, notices, SoA with distributors.
   • Cater to investor queries and resolve them through CAMS/ KFintech.
3. Reconciliation and Reporting:
   • Maintain banking relationships and utilize them effectively.
   • Daily reconcile collection MIS sent by RTA for all schemes and inform AMC support for any discrepancies in applications.
   • Reconcile CMS banking file received from banker with collection MIS received from RTA.
   • Investor level reconciliation from all communications sent to investors such as SoA, Tax statements, Distribution Statements etc.
4. Addons:
   • Settle equity, debt, G-sec and repo/CBLO trades through STP, FIMMDA reporting and inform DB custody and DB fund accountant for NAV calculation.
   • Check and provide regulatory report received from DB fund accounting to compliance.
   • Assist in handling audit – Regulatory/Statutory/Internal and others.
   • Responsible for smooth flow of information to distributors and act as solution provider for various queries with sales team and their partners.
   • Translate strategic goals into operational plans to achieve desired results.
   • Continuous process development, designing and implementation of new systems.
   • Coordinate with sales team and other departments of the group for new product launches.
   • Manage data authenticity on a day-to-day basis.
   • Ensure regularization of all pending discrepancies with committed timeline and adherence to Clean Desk policy.
   • Assess existing processes and bring improvisation for better stakeholder experience.
5. Decisions:
   • Implementation of New Regulations issued by SEBI, RBI, FIU and AMFI from time to time.
   • Operational implementation of Swing Pricing – SEBI Guidance – Regular/Daily Monitoring.
   • Applicability of NAV Allotments to Investor & Two Factor Authorization.
   • Banking Relationship & Synergies with Digital Asset Creations.
6. Challenges:
   • Process Adherence & Data Accuracy at RTAs End.
   • Completeness and Correctness of Distribution Commission Calculation.
   • Control on Regulatory Submissions – Unclaimed Amounts, Adhoc SEBI Requirement & PAN Validations.

Skills and Knowledge:

• Qualifications: Graduate or Post-graduate in any discipline.
• Work Experience: Approximately 7 years overall work experience which preferably includes at least 7 years in RTA Operations.
• Understanding of RTA Operations & Banking (In Depth).
• Understanding of MF Products, Compliance & Risk Management.
• MIS and Computer proficiency (Excel, Word and RTA systems).
