Financial Operations Trainee

As a key member of our team, you will play a vital role in maintaining the financial accuracy of our operations.

Your primary responsibilities will include preparing and issuing invoices to customers, meeting delivery timelines, and ensuring timely and precise invoicing. You will work closely with our finance team to accelerate the invoice submission process and maintain accurate records of invoice submissions and customer invoicing processes.

  • Preparation and Issuance: Prepare and issue invoices to customers in a timely manner, adhering to company policies and procedures.
  • Invoice Delivery: Meet invoice delivery timelines and ensure high levels of accuracy to avoid delays or errors.
  • Electronic Submission: Enter invoices into customer invoicing websites and submit them electronically via data interchange, maintaining transparency and accountability throughout the process.
  • Customer-Specific Requirements: Understand customer-specific requirements and tailor invoicing processes accordingly, providing exceptional service and support.
  • Accuracy and Quality Control: Check each field on the invoices before submission to ensure accuracy, completeness, and quality, reflecting positively on the company's reputation.
  • Supporting Documentation: Maintain supporting documentation and attach it to invoices as required, facilitating easy reference and audit trails.
  • System Updates: Update the accounting system immediately after invoice submission to reflect status changes, ensuring seamless integration and real-time visibility.
  • Logs and Records: Record and maintain invoice submission logs and customer invoicing process files for future reference, enabling informed decision-making and improvement initiatives.
  • Collaboration: Collaborate with the finance team to streamline invoicing processes, identifying areas for improvement and implementing effective solutions.
  • Account Statements and Reconciliation: Send out account statements to customers and reconcile self-billed cases with approved timesheets, maintaining transparency and resolving any discrepancies promptly.
  • Rejections, Credits, and Rebills: Handle invoice rejections, credits, and rebills efficiently, minimizing disruptions and maximizing customer satisfaction.
  • Standard Operating Procedures: Develop and maintain standard operating procedures (SOPs) for complete invoicing processes, account-wise and update them regularly, ensuring consistency and best practices across the organization.
  • Platform Improvement and Credit Control: Support the improvement of platforms for invoicing and assist credit control in invoicing and payment collection, driving efficiency and effectiveness in financial operations.
