Job Summary

We are seeking a highly organized and detail-oriented Program Coordinator to join our team at Parexel. In this role, you will provide administrative support to our project teams, ensuring the successful delivery of projects within agreed time schedules and budgets.

Key Responsibilities

  • Provide skilled support to project teams, including setting up and maintaining project tracking tools, preparing project kick-off materials, and raising purchase orders for external services.
  • Proactively maintain and circulate project tracking and status reports, both internally and externally.
  • Assist with the financial tracking of projects, including preparing hour reports, invoice schedules, and client financial project tracking reports.
  • Coordinate client, author, and faculty/KOL meetings and teleconferences, including circulating invites and agendas.
  • Set up and maintain accurate project information on all tracking tools, both internal and external.
  • Recognize problems concerning project progress and report to Managers in a timely fashion.
  • Assist in proposal and budget development, as well as pitch presentation development.
  • Identify and assist in the training of processes and associated skills.

Requirements

  • Competent in the use of Microsoft Office, including Word, PowerPoint, Excel, and Outlook.
  • Ability to source information using the Internet and other media.
  • Confident processing financial information and trackers under the guidance of Manager.
  • Strong interpersonal and communications skills, including the ability to compose professional correspondence.
  • Excellent organizational and multi-tasking skills, with the ability to coordinate several projects at different stages.
  • Accuracy and attention to detail.
  • Team player with a client-focused approach.
  • Motivated, proactive, and flexible approach, with the ability to follow tasks to completion.
  • Exhibit confidentiality regarding sensitive information and a professional demeanor at all times.
  • Proficient use of the English language.

Preferred Qualifications

  • Project and team coordination experience within the medical communications environment.
  • Degree in a life science, marketing, or business-related field.
